Manage public holiday calendars to connect public holidays to timesheets for overtime calculations

Create and manage public holiday calendars to calculate public holiday overtime. When a member tracks time on a public holiday and public holiday overtime is configured, the overtime will be recorded in the member’s detailed timesheets.

Creating a calendar

In Jibble, a holiday calendar is a collection of holidays that your organization observes. If you operate in multiple locations that observe different holidays, you can create more calendars to assign team members.

Steps to create a new calendar:

  1. Go to Time Off Settings > Holidays.

  2. Click the Add New Calendar button.Adding a new public holiday calendar

  3. Enter a calendar name.

  4. If you have multiple calendars set up, you can set a calendar as the default calendar by selecting the “Make default” checkbox.
    Note: New members added to your organization will be assigned to the default calendar. You can reassign members to another calendar using the People tab.

  5. Select whether you want to:

    • Import from a calendar (select a country/region to import public holidays from Google calendars)
    • Add holidays manually
  6. Click the Save button.
    Note: You can edit or assign members and groups to the calendar via the People tab.


Importing from a calendar

Following the release of version 2.27.2 on web, when importing a calendar, you will be able to choose a specific region to import for. For example, selecting Scotland as the region will display all the public holidays in Scotland together with any national holidays for the United Kingdom. 

Note: If you have imported a calendar prior to version 2.27.2, your selected region might not be followed. Re-import the calendar with your chosen region for the update to take effect.

Importing a calendar from Google

❗ Important: Imported holidays are automatically populated for the current year and the year after that. You will need to import a new holiday calendar for subsequent years.


Adding holidays manually

To add holidays manually:

  1. Go to Time Off Settings > Holidays.
  2. Click the Add New Calendar button.
  3. Enter a calendar name.
  4. Select the checkbox for Add manually.Adding calendars manually in Jibble
  5. Click the Save button.
  6. You will be redirected to the saved calendar.
  7. Click on Add Holiday.
  8. Fill in the holiday’s name and dates.
  9. Click the Save button.
  10. You can edit or assign members and groups to the calendar via the People tab.

Important: Manually added holidays are non-recurring. You will need to add them to subsequent years if they are observed annually.


Deleting a calendar

You can also delete a calendar if you accidentally created one or don’t need it anymore. 

If there are multiple calendars set up, the default calendar cannot be removed. To delete it, you’ll need to designate another calendar as the default first.

  1. Go to the calendar you wish to delete.
  2. Click on the three-dot icon, on the top right corner.
  3. Select Delete holiday calendar.Deleting a holiday calendar
  4. Confirm your action in the prompt.
    Note: Members assigned to the deleted calendar will automatically be reassigned to the default calendar.

Creating multiple calendars

You are able to create more than one calendar for your organization. This is useful when you have a large team located in different regions or countries.

When creating multiple calendars, you will need to choose a default calendar. The first calendar created will be your default calendar where any new members created will automatically be assigned to the default calendar. If you wish, you can designate another calendar as the default.

You will be able to reassign members and/or groups to other calendars via the People tab. Note that each member can only be assigned to one calendar at a time. Read more on understanding member assignments in Jibble.

In the situation where a group is assigned to one calendar and a member within that group is assigned to another, the individually assigned calendar takes precedence. The hierarchy of assignments is as follows:

Individual assignment > Group assignment > Default assignment

Timesheet calculations for each member will align with the holiday calendar they are assigned to. 


Adding custom holidays

Holidays can be added to any calendar.

  1. Select the calendar that this holiday applies to.

  2. Click the Add Holiday button.

  3. Fill in the holiday’s name and dates.

  4. Click the Save button.

Important: Custom holidays are non-recurring. You will need to add them to subsequent years if they are observed annually.

 


Editing and deleting holidays

To edit a holiday:

  1. Select the calendar that this holiday applies to.

  2. Click the Edit button of the holiday you wish to edit.

  3. Make the necessary change to the name or dates.

  4. Click the Save button.

To delete a holiday:

  1. Select the calendar that this holiday applies to.

  2. Click the Delete button of the holiday you wish to delete.

  3. Confirm your action in the prompt.
